Park Rules & Conditions of Booking
These Rules, which are designed to benefit all bona fide campers and caravaneers, set out general standards of conduct and behaviour expected of them.
You agree that if you or any of your family members or visitors or guests whom you have invited to the Park break the behaviour standards listed below then we may terminate your booking. Please act in a courteous and considerate manner towards us, our staff and anyone visiting, using or working on the Park including other customers. Admission to the Park, for all members of your group, implies a commitment to uphold the internal rules of the Park.
No vehicular access will be permitted to the camping area between 10pm and 7 am. After 10 pm. the wardens will not be available to attend except in an emergency. Vehicles to be parked in parking bays by the reception between the above hours.
The warden or staff are entitled to refuse admission to the Park when this appears to be necessary in the interests of the Park occupants.
Deposit of £25 is required per pitch booking, with balance due one week before arrival. Any outstanding balance is to be paid on arrival.
Any receipt for payment should be retained throughout the stay. Receipts may be emailed.
Use of Cars, Caravans & Any Motorised Vehicles & Pushbikes – Insurance
Vehicles may be driven only directly between the Park entrance and the pitch, and must never be driven above 5 m.p.h. within the camp confines. It is essential to avoid leaving the car engine running, or revving unnecessarily and banging of car doors at any time. All vehicles should be parked as directed by the Park staff, but in any event must not encroach on neighbouring pitches or obstruct access corridors.
Road Traffic Act laws apply to the whole Park including grassed areas.
All vehicles and caravans must be fully insured for fire, theft and third party liability whilst on the Park.
All caravans, units and vehicles whilst on the Park are left entirely at owner’s risk.
Electric car charging is not permitted on site.
Sanitation & Refuse Disposal, Recycling & Laundry/Washing Up
Chemical toilets and waste water containers must be emptied only in the marked places provided for the purpose, or in accordance with the instructions of the warden or Park staff.
No bikes, fridges, awnings, electrical appliances etc, to be put by or in the bins. Please take non-domestic waste to the local Household Recycling centre. Otherwise, £50.00 disposal fee.
Refuse and recycling must be placed in the appropriate receptacles provided.
The washing of clothes, dishes and chemical toilet is forbidden at taps which provide drinking water. Washing lines must not be hung from trees or shrubs.
Keep the pitch tidy, with the minimum of equipment stored outside.
If applicable, any COVID or potentially infected waste should be disposed of following correct current guidelines. Please consult reception by phone for correct waste disposal.
The lighting of fires and collection of wood from the forest is forbidden, but proprietary barbecues are permitted, i.e. charcoal or gas fuel only, provided they are used sensibly and do not damage the grass.
Strictly no log burners, fire baskets, fire pits, fireworks or Chinese lanterns.
Electric fires are not permitted in awnings.
Dogs & Other Pets
Dogs are not permitted in any of the buildings or the play areas or paddling pool. Dogs must always be kept on a short leash and all pets must be kept under proper control. Do not let your dog bark uncontrollably and inconvenience others. They must not be allowed to foul the Park or games field, please clean up after your dog and dispose in the appropriate bin. Otherwise, £50.00 fine.
Do not leave your dog unattended in your unit or car or outside unit.
Noise, Nuisance & General Behaviour
All appliances should be used considerately during the day.
Do not create undue noise or disturbance or commit antisocial behaviour on the Park.
Between the hours of 10.30 p.m. and 7.30 a.m. absolute quiet should be observed.
Generators are forbidden.
The use of model airplanes, drones or any similar flying device is not permitted.
Electric scooters, hoverboards or “powered transporters” are not permitted inside any buildings. It is not legal to use a “powered transporter” on the pavement or public roads therefore they are not allowed on the Park roads or pavements.
Trading in the Park is forbidden.
No smoking or vaping in the buildings.
Respect the Park and amenities – do not damage plants, trees or grass do not dig holes for any purpose whatsoever – do not drop litter, do not intrude on your neighbour’s privacy or pitch.
Do not use the Park in connection with any criminal activity or commit any other criminal offence at the Unit, the Park or in its vicinity.
Children, Games, Children’s Paddling Pool & Play area
Parents, guardians or responsible adult must supervise children so that they are not a nuisance or danger to themselves or other people using the Park.
Any games, particularly ball games, which might annoy or in-convenience others, are forbidden except in the areas provided.
No golf permitted on games field. Under 18-year-olds must be supervised by an adult to play pitch & putt.
The use of the Play area, games field, Paddling Pool & amenities block must be supervised by a responsible adult.
The paddling pool, play area & field area are unsupervised by Park staff.
Accommodation on the Park is provided on the condition that all the rules and instructions given by the Park Staff are observed.
Any person in breach by of these rules may be asked to leave the Park with no refund.
Park management reserve the right to amend or change the rules at any time.

CONDITIONS OF BOOKING
Bookings are accepted subject to the following conditions:
Can be made by phone, in person, by email or through our website.
Each pitch requires dates of the holiday, contact details of the main pitch occupant, number & names of occupants, any extras, and vehicle registration/s. If you wish to reserve a pitch close to another family/pitch we will endeavour to site you in a preferred area, however unfortunately we cannot always guarantee specific pitch numbers.
When booking please disclose the size of your unit to help ensure the pitch size is adequate.
A provisional booking (no deposit paid) can be made in person, over the phone or through email, we will hold the pitch for a maximum of 10 days or as discussed. To confirm an intended stay a non-refundable £25 deposit is required. If no deposit is received we will contact you as we require the deposit or to tell you that we will be re-letting the pitch. The balance is due one week prior to arrival or on arrival at the management’s discretion.
If we are fully booked on your preferred pitch type we will offer an alternative pitch type if possible. Please contact us by phone to check the most up to date pitch availability or check our website. Not all pitches are available to book through the website.
Online bookings require a £25 non-refundable deposit, per pitch, bookings are not secured until you receive an email from us to confirm the deposit has cleared and the reservation has been made. We reserve the right to refuse online bookings at the management’s discretion, in which case the deposit will be fully refunded. Once the booking has been confirmed, the balance is due one week prior to arrival. Reminders are sent by email.
Payment and confirmation of reservation
We will confirm a booking as soon as possible.
Payment can be made by cheque made payable to Birchwood Tourist Park, by cash or by debit or credit card. (We do not accept American Express or business credit cards).
Online bookings require full payment one week before the booking commences. If we don’t receive the balance within one week of your arrival date, we’ll contact you to inform you we may re-let your pitch and we won’t be able to offer a refund.
Amendments and cancellation of daily touring bookings
Please contact us if you need to amend or cancel your booking as soon as possible.
We reserve the right at our discretion, to charge an administration fee of £10.00 for a refund of a cancelled booking, unrelated to COVID reasons. Alternatively we can hold the whole amount paid in credit for a future booking in the next 24 months.
If the holiday has not started and the park is placed in a restricted location, or, a lockdown by law or by government advice, or a similarly introduced government guidance or policy we will give a full refund or credit of pitch fees including a deposit which has been paid for the period of time for the enforced closure.
We will also have the same policy if the person making the booking is not in a position to leave a restricted area. Further, if you are self-isolating a similar policy will be adopted. Evidence may be required to be shown at management's discretion to be eligible for the above refunds.
If the Park is required to close or we have to terminate your holiday during your stay due to reasons beyond our control we will refund or credit for any full unused nights remaining on your booking.
You may, if you prefer to carry any outstanding monies to a future booking up to 24 months, rather than accepting the refund.
We and our customers will be required to follow government guidelines and law whilst on the park and the above policy may be modified or changed at any time if necessary.
Holiday insurance is strongly recommended as we regret we are unable to allow refunds if a pitch is vacated early or you are unable to attend the holiday for any reason, except in extenuating circumstances and at managements discretion.
Bank holiday weekends. Pre-booking is highly recommended:
4 night minimum for bookings over Easter weekend, end of May (spring) bank holiday weekend and August Bank holiday weekend.
3 night minimum for bookings over early May day bank holiday weekend and over Christmas and New Year.
At other times we accept any minimum number of nights, subject to pitch availability.
Arrivals & Access to Park
Arrival is from 12 noon. Access to the Park is by vehicle registration number plate recognition provided a valid booking is in place.
On arrival campers must register at Reception or contact the on-call warden with vehicle registration details. We will check the intended booking made and alter the details accordingly. Any additions or amendments due must be paid on arrival.
There is no vehicular access on or off the Park between 10pm and 7am, unless it is an emergency.
Arrivals after 6pm must be pre-arranged, to ensure staff are available to welcome you. It is at the on-call wardens discretion as to if it is safe to access the pitch if you are arriving after 6pm.
If arriving after 10pm please pitch yourself quietly in the late arrival area, and report to Reception the next morning.
All visitors must register at reception and pay charges from the price list. Depending on space, visitor vehicles and extra cars may not be permitted on site and must park at reception. Generally one car per pitch. Day visitors should vacate the Park by 9.30pm at the latest.
Visitors are not permitted on the Park during times of COVID restriction.
We cannot guarantee a specific pitch number or area.
All units (tents or caravans or motorhome or similar unit) should be placed only as directed by staff, and may be transferred to other pitches if it is necessary for any reason.
One pitch is for one unit, one car and includes an awning if applicable. All units must be a required 20 feet (6 metres) apart.
In the unfortunate event of a requested pitch or area not being available on arrival we will relocate you to an alternative pitch or area.
Unit size may be assessed on arrival and our decision is final.
Pitch sizes vary, general width is 4.6m (15ft). Pitch lengths are 7m (23ft) or 8m (26ft) or 11m (36ft). Some pitches can accommodate larger units, please enquire at reception.
All adults, children, dogs, day visitor cars (with persons accessing the Park), gazebos, small tents and boats, jet skis and/or trailers, late departures up until 4pm are in addition to the pitch charge. The usual departure time is by 11am.
Gazebo and windbreaks must fit in pitch area.
Departure is by 11am unless a “departure until 4pm” is booked, barrier access amended and appropriate tariff paid, in which case departure is by 4pm.
Ensure that the pitch is left clean and tidy.
Any continued late payments or failure to make full payment shall entitle Birchwood Tourist Park to charge a one-off surcharge of 10%, further interest (at statutory rate) and any additional charges incurred, including debt recovery costs and administration expenses in the collection of any late or failed payments on any unpaid booking.

Privacy Notice (GDPR) and CCTV
Our privacy notice and policy can be found on our website. We will not pass on your personal details to third parties and we will only contact you regarding your stay with us.
Please be aware recording CCTV operates throughout the Park.
Wifi is subject to availability on certain areas around the Park and cannot be guaranteed. An access code is required at an additional charge from reception.
Please note: Some facilities will be limited to high season. Some facilities may be closed or restricted due to COVID or health and safety reasons at short notice.

BOOKING INFORMATION FOLLOWING COVID LOCKDOWNS
Pre-bookings are being taken for stays where possible, preferably 5 days in advance and with agreement to our new additional Park rules and guidance. Each pitch reserved must be booked under the name of a lead pitch occupant, we cannot accept one person booking multiple pitches. Please phone or email or book through the webpage.
All pre bookings will be contacted a few days before the stay with the current Park rules/ guidance. We wish to send this information close to the holiday start date as unfortunately changes may happen at short notice. This maybe emailed for agreement prior to arrival, or paper copies will be available at check in.
Do not travel to us without a Booking reference number (BW/…..). We will only check in Pre-booked units.
As per Government guidelines, for each stay we require track and trace information for each pitch booked. We may request a track and trace form with your booking confirmation with details of occupants in your unit for the duration of your stay, or the QR code may be scanned on every day of your stay.
Payment details will be sent with the booking confirmation. Where possible we require payment in advance, to reduce contact time at check in, this can be done by clicking on the link on the booking confirmation email, or card payment over the phone. In some cases payment can be made on arrival if pre-arranged.
Upon arrival at the Park it is essential that you check in at reception for vehicle registration activation. We have been informed of very strict rules which have to be adhered to and we will be enforcing these rules. There will be certain procedures which you will have to follow and additional measures will be in place for your safety and that of our staff. It is paramount that these are all observed.
Please carefully read the additional rules and information and follow our guidance to help us to ensure we can remain open for all our customers, staff and family. We will require written acknowledgement and agreement that these Park rules will be abided by. Any breach of the rules will mean you invalidate the contract you have with us, your unit will need to be removed from the Park immediately, at your own cost.
Unfortunately due to the situation they are subject to change at any point and at short notice.
It is critical that everybody observes the following key behaviours:
·HANDS - Wash your hands regularly and for 20 seconds with soap and water or use hand sanitiser.
· FACE - Wear a face covering in indoor settings where social distancing may be difficult, and where you will come into contact with people you do not normally meet.
· SPACE – Socially distance. Stay 2 metres apart from people you do not live with where possible, or 1 metre with extra precautions in place (such as wearing face coverings or increasing ventilation indoors). Please allow others to pass at narrow points, follow any one way directions.
· VENTILATION – keep fresh air flowing indoors
· FOLLOW THE GROUP GATHERING LIMITS at the time of your stay, check the legal limits on group sizes.
Before arriving: Please DO NOT travel to the Park if you or anyone in your household has COVID-19 symptoms.
The most common symptoms of coronavirus (COVID-19) are recent onset of a new continuous cough or high temperature or a loss of, or change in, normal sense of taste or smell (anosmia). If you have these symptoms, however mild, stay at home (self-isolate) – do not leave your home or have visitors. Anyone you live with, and anyone in your support bubble, must also self-isolate. Get a test – get a test to check if you have coronavirus as soon as possible. Anyone you live with, and anyone in your support bubble, should also get a test if they have symptoms.
If you have no internet access, you should call NHS 111. For a medical emergency dial 999.
Changes on the Park
Unfortunately we now have to do some things differently.
We have put in measures of social distancing signs, hand sanitising points, encouraging hand washing with soap and water, one way pedestrian routes, staff have additional PPE and protective screens.
We hope you understand we must all try our best to protect our staff and your fellow campers.
You are coming to the Park at your own risk and you must take responsibility for your own and family’s health and hygiene. We have put measures in place in an attempt to slow the spread of COVID-19. These conditions set out must be met by everyone occupying the park premises to allow the Park to reopen.
No visitors are permitted on the Park.
Always socially distance yourself from people outside your household & our staff, preferably at 2m apart.
Please follow any current household/ support bubble/ group guidance restrictions when you come to stay with us. Previously in 2020 this has included following the maximum of groups of 6. Following lockdown 3.0 these rules may be amended and we must all follow the current government guidance at the time of your stay.
We encourage good hygiene: Please wash your hands using soap and water more often than usual, or use hand sanitiser. We have installed additional soap and sanitiser points around the Park.
We strongly recommend you use your own unit facilities while on the Park wherever possible.
The toilet / shower blocks (when open) will have enhanced cleaning regimes in addition to our usual cleaning to help reduce the spread of any infection. Should you choose to use them you do so at your own risk. There will be no use of the blocks during cleaning, capacity limits and queuing will be enforced. If toilet/shower facilities are open, there will be regular closures of the blocks for cleaning and fogging. No one is authorised to enter during cleaning, other than staff wearing PPE.
Be aware our staff may be wearing a face covering or a mask and additional PPE.
Test/ Track and Trace requirements must be completed prior to or on arrival.
Follow our new markings to manage social space. Unfortunately it is likely there may be queues. Please bring a brolly, waterproofs and/or hat and sun cream to account for the unpredictable weather.
Some facilities are closed/ unavailable as listed in the information pack sent a few days before arrival, however if you have specific enquires please call us for the most up to date information.
Please be patient with our staff and each other. This is a very different way of working for everyone and may not always run as smoothly as we hope, but we are doing the very best we can under the circumstances. We will be glad to have reopened again and hope you can enjoy your stay with us despite the changes.
